Syncing requires active fuel; unfueled edits stay local and upload when you refuel. If you switch accounts mid-stream, the app runs a merge review so nothing collides silently.

The two fastest paths in the app β footer buttons on the home screen. They skip straight into a walk-up estimate: vehicle info β panels β price, no customer record needed first (you attach or create the customer when you save). Use them when the car is standing in front of you.
The badge shows how many leads from your booking links are waiting. Tap to review each β full details, photos, and the lead-confidence score β then accept into your customer book or dismiss. Nothing enters your book without your say-so.
With the built-in scheduler active, the home screen shows one-tap copy chips: your Intake link and a direct booking link per service type. Tap β link's on the clipboard β paste into any text. PAY copies your payment-link URL (set it in Business Profile) for "just send me the payment link" moments.
Left to right: your profile circle (Tech Network), the Wholesale pill (dealer hub), the Storm pill (Storm Mode β shows a menu while a storm is active), the green HAIL pill (hail map in work-list mode), the trophy (Trophy Room), the blue upload icon (Backups), and the cog (Settings).
The home slot adapts: with the built-in scheduler active you see the Scheduling Panel (today's appointments); otherwise a news carousel. Choose your scheduling method in Settings β Scheduling β that choice drives this slot.
Every job is Retail (regular dents, tiered pricing), Hail (matrix pricing by dent count/size), or Wholesale (dealer/auction work on rate sheets). A mode switcher on the customer screen flips between them; the Express buttons jump straight into hail or retail.
Estimates start at the vehicle screen: type or scan the VIN barcode and it decodes year/make/model automatically. Pick the color, override the body type if needed. Customers can also enter/scan their VIN on your booking form β it arrives pre-filled. The portal has a standalone VIN Lookup that flags "you've seen this vehicle before."
Add damage per panel; the tier system and your retail preset produce the price range. The editor shows travel charge, truck-bed accessories, a full breakdown card, and warnings (paint damage, medium dents, disqualifiers). Adjust Price gives per-panel overrides, per-R&I overrides, or a straight manual total β plus repair-time and service-location fields.
Work panel by panel: dent counts and sizes go into the heat map, your active hail matrix prices it, R&I adds per-panel or vehicle-wide. Oversized dents and supplements add on top. Export the PDF in Simple or CCC-Style format β CCC-style for shops and insurers who expect that layout.
Attach photos to any panel from the estimate editor β they ride with the record, appear on customer-facing pages, and back you up in disputes. Customer-submitted intake photos land in the same place.
The Dent Placement toggle (vehicle screen) turns on tap-to-place dent positions on the panel diagram β a visual damage map for the record and the customer PDF.
Point the camera at a CCC estimate, repair order, claim sheet, or a contact block, and the app reads it into the record β customer, vehicle, VIN. Smart-paste does the same from copied text. Find it in the scan menu on customer/estimate screens.
The estimate carries your hail disclosure and auto-raises warnings (paint damage, medium dents, disqualifiers). The preexisting damage card documents prior damage with photos before you touch the car β signed into the record.
Tap Approve & Sign on the estimate β the customer signs with a finger β the signature embeds in the record and the PDF. That's your authorization to work.
The crew card on any estimate splits the job β percentage or flat amount per person, with PAID/UNPAID tracked in the unit ledger. For standing arrangements with your own techs, use My Team instead; storm crews use the storm's deal system.
When a panel's beyond saving, the parts lookup searches eBay for replacements and the panel-replacement estimator prices the swap β right from the estimate.
A standalone estimator for crown molding work β same pattern: measurements in, priced estimate out.
The Touch-Up Paint tool finds the factory color code for the vehicle and matching paint on Amazon. It also runs a customer-pays flow: send an invoice text with a Square link, and the app checks when it's paid.
Every estimate ends in the action grid: Copy Text (a clean text version), Save/Copy Image, Email PDF, Text Customer, Scheduling Text, Approve & Sign, Save to Record. Unfueled exports carry a watermark.
From the estimate, Scheduling Text builds the follow-up: pick the service and how far out, and it proposes your soonest openings (shuffle to vary, or Pick myself to hand-select). New-Link mode sends one URL holding the whole estimate β photos, pricing, disclosures β where the customer taps a time and books. Classic mode sends plain proposed times.
Every estimate link you send is tracked: sent β seen β booked, with dollars attached. The board shows your whole follow-up funnel at a glance β who's gone quiet, who's looked three times and needs a nudge.
draft β sent β approved β work order β invoiced β paid (or declined). Change status from the record's action menu; the dashboard filters by state chips. Invoiced and paid are the two that matter downstream β income, Team roll-ups, and QuickBooks all key off them. Declined and paid records auto-archive to keep the dashboard clean.
On any record: set a follow-up date (the app reminds you), rate the lead likelihood, or flag it needs-attention. The dashboard's Attention toggle and the home banner surface what's waiting.
View All Jobs opens it: filter by week/month/year/all, by job type, by lifecycle state; search anything; toggle walk-ups and archived. The money summary rolls up whatever's filtered β your answer to "what did hail do for me this quarter."
The Dashboard button opens it: search by name, phone, email, or city; tap a customer for their full story. New customers come from estimates, bookings, imports, or + New. On the portal, every row has one-tap Call / Text / Email.
One customer, everything: contact and address cards, the garage (their vehicles), assigned rate sheet or preset, booking history, payment history, accounts receivable, imported media, notes β plus a current-visit clock while you're on site and a dealership ROI rollup for wholesale accounts. The travel-deposit card and New Estimate button live here too.
Portal β Customers β Import CSV: pick the file, preview, select rows (duplicates flagged). Imports are staged β they appear on your portal Dashboard as "Ready to push," and only go live after you push AND confirm on your phone. No bulk mistake can silently flood your book.
Mobile Tech RX splits your business across seven exports, and the same jobs appear in more than one of them. You do not need all seven.
Export these, then import each one in Settings → Backup & Restore → Mobile Tech RX:
Order does not matter. Each file fills in whatever the others left blank, and importing the same file twice is safe — jobs you already brought over are never duplicated. Do the same with Estimates if you want your quote history too.
Why the totals differ between files. The Vehicle export's total is the amount before discounts, so it reads higher than what you actually collected. The app knows this: only a file carrying discount and received columns is allowed to set money or mark a job paid. A Vehicle export can add the VIN, year, make, model and colour, and nothing else. That is why you can import in any order and still end up with the right revenue.
Before you start. Bring every file over before you begin editing jobs by hand. Details you type in yourself are kept — but a total you change by hand can be re-set by a later Mobile Tech RX file.
If something looks wrong. Import the missing file again; it fills the gaps instead of duplicating. If the numbers are still off, use Remove Imported on the same screen — it clears only what came in through an import and leaves work you created yourself untouched. Then start over.
Dates. Your jobs keep the dates they happened on, not the day you imported them, so your income by week and month reads correctly from day one.
Incoming requests carry a Lead Confidence score (0β100) from network and device signals. Low scores = likely spam or burner info β visible before you waste a drive. Open a bad lead and block the sender; future submissions from that origin are dropped automatically.
Portal β Settings β Intake form: claim your link code (dentrepairusa.com/b/YOURCODE), set the headline, tagline, logo, and which fields show. Grab the embed snippet to put the form directly on your own website. Under Analytics, plug in your GA4 ID and Google Ads conversion ID to track bookings as conversions.
Portal β Work β Requests (or the app's import inbox): each lead shows details, photos, and score, with Call / Text / Email one-taps. Write estimate or Hail estimate starts pricing from the lead directly; Save imports them to your book. Known customers are recognized automatically.
Customers can ask questions through the network. The Requests board's Questions tab shows them β answer publicly or invite them to a direct message.
Job out of your range? Refer the customer β record, estimates and all β to another Tech Network member. They accept and it lands in their book. Yours arrive under Customers β Referrals with accept/decline.
When the same customer exists in two places (account switch, import overlap), the app holds a merge review instead of guessing β you decide what wins. Nothing is auto-overwritten.
The home stats card is live income β gross, expenses, net β with week/month goal gauges (set the weekly goal in Settings β My Finances). Portal β Finances shows it by month with recent payments and expenses by category, plus Income CSV, Expenses CSV, and a printable P&L report.
On an invoiced job, record each payment β amount, method (cash, check with photo proof, Zelle, Square), surcharge if any. Payments drive collected totals, the paid state, and QuickBooks.
Request a non-refundable travel deposit from any customer or appointment β amount pre-fills from mileage, fully editable. The customer pays a secure Square link; paid status shows everywhere. Mobile-service online bookings can require it up front. One-time setup: connect Square in Settings β Payments and open that screen once so links can be minted server-side.
Log expenses with category, vendor, and a scanned receipt; set recurring ones once. Export CPA produces the CSV/PDF your accountant actually wants. Also on the portal under Money β Expenses.
Marking En Route to an appointment tracks the trip automatically (Vehicle Mode makes this hands-free). Any trip logs into the Expense Tracker at the standard mileage rate in one tap.
Per job: gross minus crew payouts minus unit costs = net to you. The unit ledger shows every cut and its PAID/UNPAID state β know your real number on every car.
Fill the IRS W-9 once β name, classification, TIN, signature β and export the finished PDF whenever a shop asks. In the app (Settings β My Business) and the portal (Money β W-9). Stored securely with your account.
Settings β My Finances β Financial Planning: tax planning, retirement, and the financial report β pro tools that read your real numbers.
Portal β Settings β Scheduler (or app Settings β Scheduling): define appointment types (label, duration, description), weekly hours, start-time intervals, gap/packing rules, how far ahead customers can book, and the earliest-booking cutoff. "Look busy" hides a percentage of your openings so you never look empty.
Choose whether customers book exact times or arrival windows (1/2/3-hour). Windows give you drive-time slack; the customer's confirmations and reminders show the window, not a hard time.
Home screen shows today/upcoming with per-row confirm lights, editable price, and a weather badge. The + menu quick-adds or books a slot; See All opens Upcoming | History with search and range filters.

Appointments can mirror into your phone's calendar automatically, and the portal can create a calendar feed you subscribe to from any calendar app. Customers get an Add to calendar (.ics) button on their confirmation page.
Set reminder timing (12/24/48/72h before), daily/weekly summary emails, and booking-alert emails β and connect your own email (SMTP/Gmail) so messages come from your address. Reminder message templates (the bullet lines) are editable in the app's scheduling settings. There's a test-send button; use it.
Prefer Acuity? Connect it in Scheduling settings β appointments sync into the panel alongside everything else. The built-in scheduler and booking links are the fuller experience, but both work.
The map icon on the scheduler (owner tool): set a same-day cluster radius and max range, define rush-hour windows to avoid, and check your day's route against your EV's range. Online bookings that would strand you across the region get hidden; your own bookings just get a heads-up. The day-route review shows each day's stop chain with leg miles.
A big-button driving screen: next appointment with live drive time and weather, Mark En Route / Arrived, Navigate, Call, arrival message, open the estimate β even Find Charger and a heavy-rain risk flag. Enable and tune it in Settings β Vehicle Mode. En Route starts mileage automatically.
Approaching the customer's address while en route pops the arrival actions β mark arrived, send the "I'm here" text, or call β straight from the notification.
Appointments show the forecast at the job site for the appointment hour β temperature, estimated panel temp, rain risk, and PDR-specific advisories (glue-pull conditions). Decide about outdoor repairs before you drive.
Today's schedule, route map, trip status, and weather on the car screen β plus Siri: "what's my next stop," "I'm on my way," "I've arrived." Built and awaiting Apple's CarPlay approval; it activates in an update once granted. The Siri commands work already.
The tech joins; you approve. On their phone: profile circle β Tech Network β My Team β enter your callsign β agree to invoice sharing β request. You get a push; approve from My Team or the portal (Money β Team). From then on their invoices roll up to you. Either side can detach anytime.
Open a tech on the Team screen: set commission % or flat per job. Their sheet shows invoices by category, paid so far, and still owed β one tap settles it. Figures are informational; the actual arrangement stays between you.
Portal β Team β expand a tech β Buy fuel for [name]. Same plans, your card, their account. Leaves the team β billing stops automatically. FUELED/NOT FUELED badges show whose invoices can flow β an unfueled tech's app doesn't sync.
Tech leaves from their My Team screen; owner removes from the tech's sheet. Sharing stops immediately, history stays with the company, owner-paid billing cancels itself.

With auto-sync on (default), marking a job paid sends the invoice to QuickBooks: customer matched or created, invoice number carried, payment recorded, and sales tax booked as tax, not income. Totals match to the penny. Toggle auto-sync off for manual per-row Sync buttons. Each job syncs once, ever β duplicates are impossible.
Connected owners see a QuickBooks column on the Team page β sync any tech's invoiced/paid job into your books, with the technician credited on the line.
Storm pill β Create a storm (name, location, default % per job) β you get a 6-digit join code for your crew β or Join with someone's code. In-storm, the app pivots: shared customers, crew estimates, live stats.
The storm home shows the zone snapshot, live estimates/revenue/crew counts, and the roster. Add customers and estimates into the storm, or promote an existing retail customer into it. Managers get the Storm Dashboard rollup and can close/reopen the storm.

Mobile jobs can require the travel deposit right there.
Your confirm text/email links them to a page showing the service and time (or arrival window) with three buttons: Yes, I'll be there Β· I need a different time (sends you a reschedule request) Β· I can't make it β plus Add to calendar. Their answer flips your confirmation light. Your change-cutoff rules are respected.
The one-link Scheduling Text opens a page with their vehicle, the estimate (photos, panels, total, disclosures) and suggested times they can tap to book β the estimate and the close on one screen. You see sent/seen/booked on the links board.
